Duties & Responsibilities :   
Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers. Performs job responsibilities with minimal supervision. May train subordinate staff in proper procedures of day-to-day operations. May serve as a lead worker. Provides program, administrative, and/or technical assistance to customers and staff Researches and/or resolves program or client issues or questions May represent the manager in various matters. Provides program, administrative, and/or technical assistance and interpretation Researches and resolves detailed program or client issues/questions and prepares documents. Provides assistance and problem resolution to claimants, employers, staff, other agencies, and/or the general public. Provides administrative support to assigned area. Manages routine administrative functions for the agency/office, such as travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, etc.

ADDITIONAL DUTIES:

Manages a diverse range of support and operational activities for the Division of Financial Services.
Serve as a direct link between the Division of Financial Services and the Office of Communication, Chaplain, Ombudsman, Audits, Legal Services, and the Commissioner’s Office. Submits annual budget request templates as well as internal transfer requests to the Office of Budget Services. Ensures budgetary compliance for all areas of responsibility. Properly manages procurement policies and procedures within all respective divisions / offices. Submits requisition requests and manage purchase orders. Ensures timely receipt and submission of all invoices. Serves as the “business owner” for all grants, if applicable. Establishes and maintains a positive working relationship with internal and external agency customers, and other related contacts.
  

Minimum Qualifications :   
Associate degree in real estate, business administration, or a closely related area from an accredited college or university. OR High school diploma or GED AND Two years of experience in commercial real estate, space management, or property insurance.   

Preferred Qualifications :   

Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess three or more of the following:

1. Two (2) or more years of experience procuring assets or completing purchases for an office / division;.

2. Two (2) or more years managing a budget for a division.
